A requirement-led approach.
A useful spare-parts enquiry links each item to the equipment it serves. Provide the manufacturer, equipment model and serial number, followed by the part number, revision, description and quantity for each line.
When the part number is unavailable, send a drawing or datasheet and clear images of identifying markings. Photographs support identification but do not establish a part's dimensions, material or compatibility.
State whether the enquiry requires OEM supply, aftermarket supply or consideration of a documented equivalent. Any alternative should be identified in the quotation and accepted after technical review; no manufacturer authorization or interchangeability is implied.
